A delivery driver arrives with four machines for one hire. Each machine has its own condition report. If each one needs its own signature, the customer signs four times at the gate, or the driver skips some and hopes nobody asks later.
Neither is great. Four signatures take time that nobody has at a delivery. Skipped ones leave you with a machine on hire and nothing signed for it.
What it does now
I built a sign-off step into HireCheck's My Deliveries page and tested it with a plant hire company in the UK. This is what the driver sees:
- A delivery stop has a Check out button. A collection stop has a Check in button.
- The button opens a list of every machine on the job, with its fleet number.
- The driver taps a machine and the normal inspection form opens. The job number and customer are already filled in, and the type is set to pre-hire on delivery or return on collection. After saving, the machine shows a tick.
- When the machines are done, the customer signs once in a box at the bottom of the same window.
The result is one signed record for the whole job. It makes no difference if the job has two machines or twelve.
What is in the PDF
HireCheck builds a PDF from that record. It lists the job number, the customer, the hire dates and who recorded it. Under that, each machine appears with its fleet number, its serial, the condition the driver recorded, whether damage was noted, and any notes. The customer's signature and the time come last. Times print in the time zone you set in your branding settings, so a firm in Perth gets Perth time.
If a machine was not checked, the PDF says so in red next to that machine. I left it that way on purpose, so a missing check is easy to spot.
Your hire terms and conditions can be attached too. Upload them once as a PDF on the HireHop page in HireCheck. They are added after the signature page of every signed record, so the customer agrees to your terms with the same signature.
How you get the PDF to your office
Every signed record has a link that opens the PDF without a login. Your driver copies it, or you open it from the hire order. Paste it into the HireHop job, or into an email to the customer.
The link is long and random, but anyone who has it can read the record, so treat it like any other document link.
What it does not do yet
The link does not go into HireHop by itself. For now someone pastes it in. Writing it into the job automatically is the next thing I want to build, and I have not yet worked out which HireHop field to use for it.
Finishing a stop does not depend on the checks. A driver can mark a delivery Completed whether or not every machine has been checked. The PDF shows what was and was not recorded.
What you need to set up
- Connect HireHop to HireCheck, so your jobs and route planner stops come through. The earlier post covers that.
- Add each driver under Staff Users with the email they will sign in with.
- Under HireHop, then Routes and drivers, match each route name in HireHop to its driver.
- Upload your terms and conditions PDF on the same HireHop page.
