Most hire firms I talk to run two systems. The booking software holds the customer, the dates and the machines. The condition check sits somewhere else. So someone retypes the job: the customer name, the hire dates and the machine numbers.
Say that takes three minutes and you book 20 jobs a week. That is an hour a week of copying. It also goes wrong. A machine number gets swapped, and the condition report ends up against the wrong machine, which is the one mistake a condition report cannot afford.
What it does
I built a connection from HireHop to HireCheck and tested it on real jobs from a plant hire company in the UK. This is what happens now:
- A hire job reaches Booked in HireHop. HireCheck creates a hire order with the customer name, email and hire dates.
- The machines allocated to the job come across with it. Each one is matched to the machine in HireCheck by its barcode.
- If the job changes in HireHop, HireCheck updates the same order. It never makes a second one. If a machine comes off the job, it comes off the order.
- Only hire jobs come through. Sale jobs are skipped, and so are Cancelled and Not interested jobs.
The order then works like any other hire order in HireCheck. Your team records the condition before the machine goes out and after it comes back, and the customer gets the report link.
How machines are matched
The match is exact. The barcode on the HireHop item must equal the machine's identifier in HireCheck, or its serial number. There is no partial matching, so "05" never matches "058".
If a barcode has no match in HireCheck, the line still appears on the order and is marked unmatched. You see the gap and fix it, instead of a machine quietly going missing from the report.
The quickest way to get your machines into HireCheck with the same numbers is a CSV import, using the HireHop barcode as the identifier. Do not open the CSV in Excel first. Excel drops the leading zero, so 003 becomes 3 and nothing matches.
What you need to set up
It takes about 15 minutes.
- In HireHop, add a user for HireCheck and create an API token for that user. HireHop limits the number of users on a plan, so you may need to free a seat. Do not log in as that user afterwards, and do not change its email or password. Either one stops the token working.
- In HireCheck, open HireHop in the menu, paste the token and save. Test it with any job number.
- Copy the webhook address from the same page. In HireHop go to Company Settings, then Webhooks, add the address, and tick three events: job.updated, job.status.updated and job.item.stock.updated.
After that, a booked hire job appears in HireCheck within seconds, and later edits update it.
What it does not do yet
The job sync only reads from HireHop. It does not change your jobs, prices or invoices. Next on my list is the HireHop route planner, so each driver sees their own deliveries and collections.
HireCheck already connects to Booqable in the same way, using Booqable's API and webhooks.
