A Perth hire shop owner told me something this week that I should have seen coming. He owns several machines of the same model, and when he adds them to HireCheck he does not want to type the same details in over and over. He also does not want two machines sharing one condition report.
He is right on both counts. If two excavators of the same model share a record, a customer who hires the second one sees the first one's history. That is the opposite of what a condition report is for.
What changed
The Add Equipment form now has a Number of units box. Enter 3 for a "120T Press" and HireCheck creates "120T Press #1", "120T Press #2" and "120T Press #3". Each one gets:
- its own public condition report link
- its own identifier
- its own inspection history, photos and customer signatures
You fill in the name, category, make and model once. You can add up to 50 units at a time.
How the identifiers work
Type your own identifier in the Custom Asset ID box and HireCheck adds a dash and a number to it. An ID of PRESS gives you:
| Item | Identifier |
|---|---|
| 120T Press #1 | PRESS-1 |
| 120T Press #2 | PRESS-2 |
| 120T Press #3 | PRESS-3 |
Leave the box blank and HireCheck generates a base identifier for you and numbers it the same way. You can edit any identifier afterwards if your own numbering is different.
The serial number is left blank when you create several units, because every machine has its own. Open each item and add its serial number once the units exist.
Limits worth knowing
Each unit counts as one equipment item against your plan. HireCheck checks the whole batch before it creates anything. If your plan has room for 12 more and you ask for 15, it creates none and tells you that 12 will fit. If one of the identifiers is already in use, it also stops and asks you to choose a different ID.
If you use Booqable, the Booqable Setup page and its CSV export now list each item's identifier and serial number next to its link. Paste each machine's link into the matching Booqable product or order field.
Why this matters for hire contracts
A condition report only protects you if it belongs to the exact machine that went out. With one record per machine, the link on your contract or email opens that machine's history, and the damage-claim pack pairs the right before and after photos.
If you hire out identical machines and run Booqable or HireHop, the setup guides cover how to carry each link into your hire software. HireHop stores custom fields on each asset, so each machine can hold its own link directly.
